Here at ICS we always ensure we deal with client queries, and to help our clients we’re going to be doing regular FAQ blogs answering questions that our customers frequently ask. Our first FAQ blog is written by one of our Customer Services Executives, Anne-Marie Gavins, and advises about expenses:

FAQ – What expenses can I claim, and how do I claim them?

When people join ICS Umbrella, they have often never known why or how to submit expenses or even what they can claim for. ICS can help you with this. We are knowledgeable and compliant with the HMRC expenses guidelines, so we can give you the support and advice you need.

The main things you can claim for are food and travel.

Did you know that instead of claiming for food and supplying receipts, you can claim for subsistence? Subsistence is a meal allowance. If you’re out at work for 5 or more hours per day you can claim for £5 per day, and if you’re out for 10 or more hours it is £10 per day. The best thing about claiming for your food this way is that you do not need to send in receipts (although you must have bought food and kept the receipts yourself in case of an audit).

Travel expenses include mileage – this is how many miles you have travelled to and from work for the week. You can claim 45p per mile for the first 10,000 miles per year and 25p per mile thereafter. You just need to supply a copy of your fuel receipt to back up your claim. Other travel costs allowable may be train/bus fare (tickets need to be provided) as well as parking tickets and toll charges. You can even claim 20p per mile if you ride a bike to work!

You can also claim for lots of other things, such as uniforms, tools and equipment and even accommodation.

There are lots of ways to send your expenses into us – there’s the online portal, you can email them in, text, fax or post. You can read more about submitting your expenses in the Expenses section of our website.
